Our service areas may include Toronto, Mississauga, Brampton, Vaughan, Concord, York Region, Halton Region, and nearby areas, depending on technician availability and the type of service needed.

Service Requests and Appointments

Submitting a form or booking request does not guarantee that an appointment has been confirmed. An appointment is only confirmed after our team accepts the request and provides confirmation.

Emergency HVAC Services

We may offer 24/7 emergency repair services for heating, cooling, boilers, HVAC systems, and related equipment.

Emergency service depends on technician availability, location, road conditions, weather, parts availability, property access, and safety conditions.

If there is an immediate danger, such as a gas smell, carbon monoxide alarm, fire, electrical hazard, or unsafe equipment condition, leave the area and contact emergency services or the proper utility provider right away.

Estimates and Quotes

We may provide free estimates, phone estimates, online estimates, or general price guidance. These are not final prices unless confirmed in writing after we review the full job details.

Final pricing may depend on:

  • The type of system
  • Equipment age and condition
  • Parts and materials needed
  • Labour required
  • Building access
  • System location
  • Permit or inspection needs
  • Diagnostic findings
  • Safety concerns
  • Manufacturer requirements
  • Changes requested by the customer

If we find additional issues during the work, we will explain them and provide updated pricing before continuing, when possible.

Diagnostic and Service Fees

Some visits may include a diagnostic fee, service call fee, emergency fee, travel fee, or after-hours fee.

These fees may apply even if the customer chooses not to move forward with the repair, replacement, or installation.

Any applicable fees will be explained before or during the booking process when possible.

Customer Responsibilities

To help us complete the work safely and properly, customers must provide:

  • Safe access to the property
  • Access to the HVAC system, furnace, boiler, AC unit, water heater, mechanical room, rooftop, attic, basement, garage, or other work area
  • Access to the electrical panel, thermostat, gas shutoff, water shutoff, or related equipment when needed
  • Parking or loading access when required
  • Permission to enter the property
  • Accurate contact and service information
  • A safe work area free from hazards, pets, blocked access, or unsafe conditions

For condos, apartments, commercial buildings, and managed properties, the customer is responsible for arranging elevator booking, loading dock access, property manager approval, security clearance, rooftop access, suite access, or building approval when needed.

Condos, Commercial Buildings, and Managed Properties

Some HVAC systems in condos, commercial buildings, retail spaces, restaurants, offices, and managed properties may require approval from a landlord, property manager, condo board, building engineer, or other authority.

The customer is responsible for confirming who has the right to approve the work and who is responsible for payment.

Green Heating & Air Inc. is not responsible for delays caused by missing approvals, denied access, building rules, management restrictions, or unclear responsibility between owners, tenants, landlords, or condo corporations.

Parts, Equipment, and Availability

Parts, equipment, brands, model numbers, and materials may not always be available immediately.

Timelines may change due to supplier delays, discontinued parts, manufacturer backorders, delivery issues, or product changes.

If a specific part or model is unavailable, we may recommend a suitable alternative. Any change in price or scope will be discussed before moving forward.

Repairs, Installations, and Replacements

We aim to provide professional HVAC service, repair, installation, maintenance, and replacement work. However, every property and system is different.

Repair success may depend on the condition, age, design, installation history, maintenance history, and current damage of the system.

In some cases, a repair may restore the system temporarily, but older or damaged equipment may need further repair or replacement later.

We are not responsible for pre-existing issues, hidden defects, poor previous installation, lack of maintenance, unsafe modifications, blocked airflow, poor ductwork, electrical problems, structural issues, water damage, pest damage, or other conditions outside our control.

Permits, Inspections, and Code Requirements

Some HVAC, mechanical, gas, boiler, ventilation, water heater, or installation work may require permits, drawings, inspections, engineering review, utility approval, manufacturer requirements, or building approval.

Unless our written quote clearly states otherwise, the customer is responsible for confirming and paying for any required permits, approvals, inspections, or related documents.

We may help guide the customer when permits or approvals appear necessary, but final requirements may depend on the property, municipality, building type, and project scope.

Licensed and Regulated Work

Some heating, gas, fuel, boiler, and mechanical work may be regulated under Ontario rules and safety standards.

Where required, regulated work must be completed by qualified, licensed, or certified technicians.

Green Heating & Air Inc. may refuse to perform work that appears unsafe, unlawful, outside the approved scope, or not compliant with applicable codes, safety standards, manufacturer requirements, or building rules.

Warranties

Some products, parts, and equipment may include a manufacturer warranty. Manufacturer warranties are controlled by the manufacturer, not Green Heating & Air Inc.

Labour warranties, if offered, will be stated in the written quote, invoice, or service agreement.

Warranty coverage may not apply if the issue is caused by:

  • Misuse
  • Lack of maintenance
  • Dirty or clogged filters
  • Blocked vents or airflow
  • Improper thermostat use
  • Power surges
  • Electrical issues
  • Water damage
  • Freezing
  • Corrosion
  • Unauthorized repairs
  • Third-party modifications
  • Building problems
  • Pest damage
  • Customer-supplied equipment
  • Normal wear and tear
  • Failure to follow manufacturer instructions

Warranty terms may vary by service, equipment, product, and manufacturer.

Maintenance and System Care

HVAC systems, furnaces, air conditioners, boilers, heat pumps, water heaters, and related equipment need proper care and maintenance.

The customer is responsible for routine care, such as replacing filters, keeping vents clear, keeping outdoor units free from debris, monitoring system performance, and booking maintenance when needed.

Green Heating & Air Inc. is not responsible for damage or poor performance caused by lack of maintenance or improper use.

Rebates, Grants, and Incentives

We may provide general information about rebates, grants, financing, or incentive programs for heat pumps, HVAC systems, or energy-efficient equipment.

These programs are controlled by third parties, government agencies, utility providers, or other organizations.

We do not guarantee eligibility, approval, payment amount, processing time, or program availability. Programs may change, end, or update at any time.

The customer is responsible for reviewing program rules and submitting any required documents unless we agree otherwise in writing.

Payment Terms

Payment terms will be explained in the estimate, invoice, quote, or service agreement.

Depending on the job, we may require full payment, partial payment, deposit, progress payment, or payment upon completion.

Late payments may result in additional fees, collection costs, service delays, warranty delays, or legal action where allowed by law.

The customer agrees to pay for approved work, materials, equipment, diagnostic visits, service calls, emergency service, and any other agreed charges.

Cancellations and Missed Appointments

If you need to cancel or reschedule an appointment, please contact us as soon as possible.

A cancellation fee or missed appointment fee may apply if:

  • You cancel with short notice
  • The technician arrives but cannot access the property
  • The customer is not available
  • Required approvals were not arranged
  • The work area is unsafe or blocked
  • The job cannot proceed for reasons outside our control

Customer-Supplied Equipment or Parts

If a customer asks us to install or use customer-supplied equipment or parts, we may accept or refuse the request at our discretion.

We are not responsible for the quality, safety, compatibility, warranty, performance, or condition of customer-supplied products.

Labour charges may still apply even if the customer-supplied part or equipment does not work properly.

Photos, Videos, and Job Documentation

We may take photos or videos of equipment, job sites, serial numbers, model numbers, installation areas, damage, safety concerns, completed work, or system conditions for documentation, quality control, warranty claims, estimates, and internal records.

We will not intentionally publish personal or private property details without permission, unless required for legal, safety, warranty, or regulatory reasons.
